I. Create Active lists for tracking Contacts

This guide will help you build HubSpot Active lists for Boomerang to track your key contacts. We will provide a list of recommended relationships to track - however we can track any cohort of users/contacts that would be meaningful to you.

Duplicate Handling: If there are duplicate contacts across multiple lists, Boomerang will prioritize the category of the contact which is more relevant. To create a list on Hubspot:

  • In your HubSpot account, navigate to CRM > Lists.
  • In the upper right, click Create list.
  • In the left panel, select Contact-based to create a list of contacts.
  • In the right panel, enter the list's details. Make sure you are choosing an Active List here. This will allow us to update the contacts that we are tracking for you.
  • In the upper right, click Next.
  • In the left panel, set the criteria for the contacts you want to segment.
  • In the upper right, click Save list.

This list will begin processing once you've entered or selected valid criteria. When the list is saved and fully processed, the exact count of records will be visible under the list's name in the upper left. Recommended Categories of Contacts to Track: 1. Contacts part of Closed Won Deals: These are all contacts which were part of the buying cycle for a closed won deal. (Filter: Contact is associated to: Any Deal & Associated Deal has all of: Deal stage is any of Closed Won) 2. Customer Contacts: These are all contacts associated with Customer Companies on your hubspot. (Filter “Lifecycle Stage” = Customer) 3. Contacts part of Open Opps deals: These are all contacts which are a part of the buying cycle for an open opportunity deal. (Filter: Contact is associated to: Any Deal & “Is Deal Closed?” = False) 4. Product Users: These are people familiar with your product. Depending on your setup, if you have a field to identify past users and champions such as “User Role” = Admin, Power User, NPS Promoter, then you should add them. We recommend using lists to track contacts, however you can track contacts by uploading an .xl file as well.
